Position summary:

We are looking for an extroverted, assertive Administrative Assistant to assist with our office’s day-to-day operations. In this role, you will communicate effectively with management, vendors, and clients.

Your job is to have effective and professional communication to ensure the schedule is running smoothly. The right candidate is passionate about helping the team and is looking forward to growing within our company.

*Although this is an IT company, IT knowledge is not necessary to succeed in this position. However, some basic understanding of IT will be a major plus.

You will report and work directly with the CEO and Service Manager, visit prospects and clients, and ensure proper communication and notes for ongoing projects and meetings.

The ideal candidate:
  • Outgoing, friendly personality with the ability to communicate with anyone
  • Being a team player is a must in this position. Ensure all team members pull in the same direction. Enablers are critical to the success of any team.
  • Oversee office appearance, make coffee, help with trash, supplies, etc.
  • Fast learner who isn’t afraid to ask questions
  • Ability to assess the next steps in a project and follow up to ensure each step gets completed without management’s involvement
  • Ability to communicate with staff, management, and clients efficiently and professionally:
    • Comfortable leading team meetings to review project status and schedule
    • Build relationships with our clients: strengthen company relations, perception, and client satisfaction
    • Fast turnaround of management & customer requests
  • Document new configurations
  • Proficient with Microsoft Office Suite is a must
  • Ability to learn new software like our PSA ConnectWise Manage. Training will be provided.
  • Fast typist: ability to take meeting notes required
  • Strong organizational and planning skills – ability to assess the next steps on your own

Not necessary, but a plus:
  • Leadership/Management experience (in any industry)
  • Associate’s Degree
  • Basic IT knowledge
